Minutes of Meeting held 27th September 2007

HBR Steering Group Minutes  27th September 2007 @ Whaddon Youth Centre

 Present:  Charlie, Asher, Jaz, Vicki, Kitt, Lynn, Sammy, Sally, Kerry and Della.  Sally welcomed everyone and introduced Della who is her new line manager.    

11 Million “Take over day”. 

 Della explained the idea of children and young people taking over the important and powerful jobs on 23rd November. It’s being lead by Childrens Commissioner, Al Aynsley-Green. Everyone agreed this would be a good opportunity and came up with ideas about linking with Gloucester Regeneration Project. Kitt was keen to have a powerful job…..liking the idea of being Peter Bungard, Gloucestershire County Council Chief Executive or The Police Commissioner for a day!  The group were keen to invite Gloucester Regeneration to attend a future meeting.  Action: Sally to arrange.

 Act by Right Training

Sally asked who would be interested in attending Act by Training due to run on Sundays commencing October?  Action: Anyone interested to contact Sally direct.

Residential

 Sally explained there was enough money in her budget to do a residential. Some of the group have Saturday jobs so this may be a problem.    

 Tea with Tim! (Chief Constable)  Vicki, Sammy, Asher are interested in attending next Thursday 4th October with Lynn and Jaz to be confirmed.  Action: Sally to arrange.   

Hoodies 

Lynn and Vicki need hoodies. Action: Sally to organise. 

DVD

 Half term has been suggested as a time to start working on DVD and Al is around to support group. The next meeting will be to plan the DVD.  

Website

  The rest of the meeting was taken up by working on website and talking to Al Pagan online. Lynn wrote ideas to improve website. (attached) Inappropriate material was found on website that had been posted and this was highlighted to Al and discussions about safe guarding the website arose.  All agreed a website working group would be a way to take this forward with people “meeting” remotely at home and talking online. Al agreed to this and Wednesdays or Weekends were suggested as a good time.

THE WEBSITE … NEEDS TO BE FUNKIER, FRIENDLY, COOLER AND EASY TO USE!!! 

Hi guys.

Okay, it’s clear the website needs some looking after, so here are the thoughts I had on it after a quick browse:

 1. How could we improve the website admin?

  1. The website needs administrating and moderation. There should be at least young generic administrator and at least one adult administrator. Their job would be to proof read the site at least once a week to check the content is safe, things are getting done properly and make a note of things that need doing.
  2. Other moderators are also needed (e.g.: 2 for the forums, 2 for the chat, 1 for the blog etc.) They should log on via rota to safeguard things that are happening in the chat rooms etc. Moderators should be given the powers to block irritating/bullying/dangerous etc. users.
  3. The website needs to be more user friendly! Language needs to be written in the sort of language teenagers and young people like to read; less Oxbridge English – more the sort of attractive, friendly language you would find in a further education leaflet, UCAs website, NUS etc. The website needs to have more approachable “made by us, for you!” feel to it.

 2.  How could we improve the website layout and design?

a.      The navigation needs major sorting out – at the moment it’s confusing and illogical – see below for my suggestions for the website navigation.

b.      The big blue banner at the top – that’s right, the big blue bit … needs some nice photos on it to make it more attractive. In a way, the simplistic “Hear By Right Gloucestershire” doesn’t need to be so big… it could be done in a small font beneath the logo in the top left. The rest of the space could contain photos of whatever! Grosvenor, events, us, whatever!

c.      The homepage needs to LOOK like a homepage – there needs to be a big “Welcome to Hear By Right Gloucestershire!” on it… this is the first thing that visitors will see. So they need to feel welcome! 

3. Proposition for the navigation:

Okay, this is how I think the navigation should work… but it’s just a proposal. J. Nearly all of the following titles should be a clickable link. Titles marked * need their own moderators.

 Home                         - should contain a lovely big WELCOME message, updates, noticesAbout Us                    - who are we? What do we do? What’s our name? Include good photosEvents                        - upcoming events, past events, photos 

My Account              - should link to the main “my account” page. Like on Yahoo!, or something.

Login/logout               - does exactly what it says on the tinMail (1 new message)          - internal mail system? Just an idea… Create content           - add to your blog, forum etc.Recent posts             - view all recent comments, forum posts and blog posts. Categorize.

My Blog*                     - Bebo-style.

My Photos*                - Just a way of keeping your HBR memories together-can share via mail! 

 Get Interactive         - (NO LINK)Blog*                           - HBR website blog. Posts only by admin only; comments by members

Polls*                          - Relevant polls on issues that are likely to be discussed at meetings

Forums*                     - create sticky, unmovable, relevant threads & topics of discussionChat*                          - DANGER AREA! NEEDS TO BE SAFE.
